Setting up your team

Spend360 is built so a non-technical manager — a Head of Finance, an Operations lead, a founder — can run the whole setup without help from engineering. This page walks through the two things you'll do once: add the people on your team, and add the keys that let Spend360 see their AI usage.

1. Invite your team

On the Team plan, you can invite the people who should see the dashboard — typically anyone responsible for an AI tool, a budget, or a team's costs. Inviting someone sends them an email; when they click the link they create their own login. You stay in control of who has access and can remove anyone at any time.

A good rule of thumb: invite the person who pays the bill, the person who owns the budget, and the person who actually uses each AI tool. That way the right people see the right alerts.

2. Add each person's API key

An API key is a long string of letters and numbers that proves a piece of software is allowed to look at an account. Each person on your team who uses an AI tool will already have their own keys inside that tool — for example, an "OpenAI key" inside ChatGPT's developer area. To track their spend, you add that key into Spend360 once, and label it with their name (for example, "Sarah — OpenAI").

On the Team plan you can add as many keys per provider as you have people. Each key tracks its own spend, its own number of calls, and its own last-synced time, so you always know who is driving what. Spend360 only reads usage information; it cannot make calls or change anything inside the provider's account.

3. Confirm everyone is being tracked

Once keys are added, open the Providers page. You'll see each key listed with the person's label, their spend so far this month, and when it last synced. If a key is missing or wrong, the row will tell you — re-paste the key and you're back to green. That's the whole setup.
